Attorney-client confidentiality is at risk (or at least in question) when unencrypted email is used for sensitive communications. Founded in 1893, Woods, Rogers & Hazlegrove, P.L.C. is a law firm with office locations in Roanoke, Danville, Charlottesville, Richmond, Blacksburg and Lynchburg, Virginia. Among the largest law firms in Virginia, it provides a full range of legal services in business law and litigation to help clients find their way through the maze of laws that govern our society. As that maze has become increasingly complex over the past century, Woods, Rogers & Hazlegrove has evolved as well, developing new areas of legal expertise, building an organization of skilled and dedicated people, and acquiring the best in technological innovation to increase efficiency and accuracy.
“We needed a strong email encryption system to protect confidential client information that is routinely transmitted via Internet email,” notes Clay Gibney, IT Director for Woods, Rogers & Hazlegrove. “That system needed to be easy to use and easy to manage, by utilizing centralized management of encryption keys so that our use of email encryption wasn't tied to any specific end user's PC. It was also imperative that we retain the ability to scan all email messages (including encrypted email messages) for viruses and other dangerous file attachments using our central email scanning system, which wouldn't be possible if the email messages remained in an encrypted form until the end user's PC decrypted it. We also wanted to be able to offer email encryption capability to our clients even when they didn't have the existing ability to do so.”

With those goals in mind, Woods, Rogers & Hazlegrove chose the Tovaris Email Security Solution. “The Tovaris system provides us with easy administration and centralized storage of encryption keys, with browser-based management for the system,” notes Gibney. “The Tovaris server sits in between our GroupWise Internet Agent (GWIA) and the Internet, so that it can automatically decrpyt messages coming in that are encrypted. Once inbound messages are decrypted, our central virus scanning/email filtering system scans the email messages for unsafe content before the message is delivered to the end user. For outbound email messages, the system is easy to use in that users only have to type "[secure]"on the subject line to trigger the encryption process. We have even made the process a simple one-click button by implementing Advansys Corporation's Formativ* software, which gives us the ability to create simple macros that perform tasks such as altering the subject line of an email message with a single button click.”
"Tovaris enables us to secure sensitive email messages even when recipients don't have any special encryption tools," notes Gibney. "If the recipient already has a certificate, they can instantly decrypt messages we send them. If not, the SecureMail Gateway allows our users to encrypt and store the message here at Woods Rogers with a simple question and answer authentication mechanism." He continues, "The sender and recipient typically agree on this passphrase beforehand — it can be an account number, a special password, or even the recipient's telephone number. What the recipient receives is a regular email message in their inbox with a special link to follow. The recipient doesn't need a plug-in, special software, or a different email address — they simply authenticate with the passphrase, decrypt the
message, and immediately view it and its attachments in a secure Web browser window." He adds, "It's great — the recipient can even destroy the message so that no one else can read it!"
